Automation of the Buying Process Increases Efficiency and Transparency


Wirtschaftskammern Österreich (WKO – Chamber of Commerce, Austria) represent the interests of more than 400.000 Austrian companies and provide consultancy, services and trainings for all member companies. WKO-IT is the IT service provider of WKO.

The internal buying processes of WKO-IT showed many media breaks. The authorization process constantly shifted between digital and manual processing (paper, fax, email, post). In order to prevent transmission errors within the process chain and to prevent retentions, adesso had been ordered to automate the buying process with the help of an integrated solution based on Microsoft Office SharePoint Server (MOSS) and web-based InfoPath forms. The processes of offer submission, order transmission and auditing as well as authorization had to be displayed digitally and provided with specific workflows.

Incoming documents are being digitalized and are quickly available as attachments. Moreover, all parties involved in the process chain receive status messages via email. All processes are recorded and are thus reproducible at any time.

The new solution provides a transparent online access to all important information on ongoing processes and makes the buying processes of WKO-IT more efficient. Above that, the application stores closed buying orders in an archive. Potential errors within the buying process could be reduced to a minimum by implementing defined workflows. The standard and Enterprise features of Microsoft Office SharePoint Server were used in this project.
